Give your new hire a warm welcome before their first day!

As part of an employee's onboarding, you can send a pre-boarding portal to your new hires so that they can start completing information and learning about your company before their first day.

Getting started

When you create a draft onboarding, you will notice that you can preview your pre-boarding. This is a separate email that can be sent as soon as you start the onboarding, or separately in a scheduled message. The portal will look like this:

What's included?

  • A welcome message, a map to show the office location, and a countdown of days to the new hire's first day.

  • Documents - this will include any documents that require read approval and have been ticked as part of the pre-boarding in your Documents settings.

  • Your profile - this section allows the new hire to complete information in their profile on Aboard, including their home address, bank details, emergency contacts, and personal details.

  • Forms - this will include any forms that are scheduled to be sent before the new hire's start date.

  • List of employees - prioritized by employees in the same department and/or workplace as the new hire.

  • A map showing all the workplaces in the company and the employees that belong to those workplaces.

Sending the pre-boarding

To send the pre-boarding portal, you have two options:

  1. When you start on the Onboarding. Once you have clicked to start, you will see a pop-up asking whether or not you would like to immediately send the link. If so, you can toggle the option, and then have the chance to edit the subject and body of the email before sending.

  2. In a scheduled message. Next to the "Preview pre-boarding" button, there is a Copy button, which will copy the link to the pre-boarding. This link can then be added to any of your scheduled Messages that are part of the Onboarding process.

Completing the pre-boarding

Once the new hire has received the pre-boarding email, then they will be able to access the interactive portal and start filling in their information, reading the documents, completing the forms, and finding out more about your company. They will also have the chance to confirm their name, favorite color (to be used as a background in the app), upload an avatar, share a fun fact, and their birthday.
