⏱️ Time Reporting - Employee Guide

A guide for employees on how to track time and submit timesheets in Aboard's time tracking system.

⏰ What is Time Reporting?

Time reporting lets you log the hours you work on different projects throughout the week. At the end of each week, you submit your timesheet to your manager for approval. This helps with accurate payroll and project tracking.


🚀 Getting Started

Before You Can Log Time

  • You must be assigned to projects by your manager or administrator

  • Time tracking must be activated for your organisation

  • Check your project assignments in the time tracking section

Hence, if you can't see any projects or the time tracking option in your employee portal, please contact your manager. You have probably not been assigned yet to a project in the Admin portal.


📋 Accessing Your Timesheet

You can access time tracking in two ways:

  1. Dashboard Widget - Click the "Timesheet" widget on your portal dashboard

  2. Portal Menu - Click "Timesheet" in the portal navigation (if available)

Both will take you to your timesheet where you can view and manage your time entries.


🕒 How to Track Your Time

Option 1: Using the Punch Clock (Timer)

Best for real-time tracking

  1. Click "Clock in"

  2. Select a project

  3. Click "Start" — the punch clock will begin running and keep track of your time until you press "Stop"

  4. Work 💪🏻

  5. When you’re finished, click "Clock out" to stop tracking your time

  6. Start a new timer to switch projects

⛔ One timer at a time — don't forget lunch breaks!

Option 2: Manual Time Entry

Best for logging time after the fact

  1. Click "Review week"

  2. Select a day

  3. Choose a project

  4. Enter start/end times

  5. Submit week. Once submitted, it will be locked for review 🔒

✍️ Be as accurate as possible!


📆 Understanding Your Timesheet

  • Calendar view by week

  • Daily entries color-coded by project

  • Status indicators:

    • ⏳ Submitted for approval

    • ✅ Approved

    • ❌ Rejected


📤 Submitting Your Timesheet

Submit weekly, typically by Friday.

Before submitting, check:

✅ All days have entries
✅ Projects are correct
✅ Times are realistic
✅ No active timers

Once submitted, you can’t edit until it’s approved or rejected.


🔄 After Submission

  • Manager reviews your time

  • You’re notified of approval ✅ or rejection ❌

  • If rejected, correct and resubmit

Common issues: missing time, overtime without approval, wrong projects.


📁 Managing Your Projects

  • Projects appear in dropdowns

  • Each has a unique emoji, name, and color

  • Contact your manager if something’s missing


💡 Tips for Accurate Time Tracking

Good habits:
✔️ Use the timer when possible
✔️ Log time daily
✔️ Be honest and review weekly

Avoid:
❌ Leaving timers running
❌ Logging personal time
❌ Guessing after several days


🛠️ Troubleshooting

Can’t see time tracking?
→ Not assigned to a project or time-tracking not activated. Ask a manager.

Can’t submit?
→ Running timer or no entries.

Made a mistake?
→ Edit before submitting. If already submitted, ask a manager to reject it.

Wrong timer project?
→ Clock out and restart. Contact support if it’s missing.

  • Can I edit after submitting?
    Only if rejected.

  • Forgot to log time?
    Use the manual entry.

  • Vacation time?
    Log it via the time-off section, not here.

  • Work on unassigned project?
    Ask a manager to assign you first.
