Who can manage Legal Entities?
Only Super Admins can create, edit, archive, restore, delete, or change the default legal entity.
Access Legal Entities
Click your profile in the upper-left corner.
Select Company settings.
Under Company structure, select Legal entities.
Add a Legal Entity
Open Company settings → Legal entities.
Click New legal entity.
Enter the relevant information:
Name - required and must be unique within your Aboard account
Organization number
Street address
Zip code
City
Country
Save the legal entity.
The default Legal Entity
Your account always has a default legal entity. When an Aboard account is created, an entity using the company’s name is created automatically.
The default entity is preselected when adding a new hire or employment. Changing the default does not move or update existing employments.
To select another default:
Find the entity under Company settings → Legal entities.
Open the Actions menu.
Select Make default.
The current default entity cannot be archived or deleted.
Assign a Legal Entity to an employee
When you have more than one active legal entity, a Legal entity field appears in the employee’s employment details.
Open the employee’s profile.
Go to their employment information.
Create or edit the employment.
Select the relevant legal entity.
Save your changes.
Legal entities belong to employments rather than directly to employee profiles. This allows an employee’s employment information to reflect the appropriate entity.
Edit a Legal Entity
From Company settings → Legal entities, select the entity’s name or open its Actions menu and select Edit. Update the details and save your changes.
Archive or restore a Legal Entity
Archive an entity when it should no longer be available for new employments:
Open the entity’s Actions menu.
Select Archive.
Confirm the action.
Existing employments retain the archived entity, but it can no longer be selected for new employments. Archived entities appear in the Archived section and can be restored when needed.
The default legal entity cannot be archived. Select another default first.
Delete a Legal Entity
The Delete option is available only when the entity:
Is not the default legal entity
Is not assigned to an employee’s employment
If you want to stop using an entity that is already connected to employment records, archive it instead.
Filters and Analytics
When your account has multiple active legal entities, you can:
Filter employees by legal entity on the People page
Add Legal Entity as a column in the People table
Filter Analytics by legal entity
View the Employees by legal entity breakdown in Analytics
