The Aboard import file

If you prefer reading instructions rather than watching videos, this article will cover everything from our videos and provide you with instructions on how to fill out your import file.

General instructions

Through a built script, it is possible to import the data in bulk through our Import template. Since it’s a script, some rules apply that are good to know before inputting:

  • Work email is Aboard-ID and connects data across the sheets to the user in Aboard. It is also via this email address that the user will login to the system.

  • Date columns must follow date format YYYY-MM-DD

  • Columns that contain drop-down lists only allow the preset options available - own options are not recognized by the script

  • Red cells are mandatory to fill out for the row

  • The worksheet is case sensitive - typos will be considered new/unique inputs


Employees

Every employee you want to add to Aboard (past or present) needs to appear in this sheet in order to be imported via the file. If the employee does not have a work email, a personal email can be inputted in column C “Employee work email” (remember to input the same email address across the other sheets to connect the data to the correct user in Aboard).

The more data that is inputted, the better. But from this sheet, the mandatory columns are:

  • First name

  • Last name

  • Work email

  • Role - This is their access role in Aboard, not their internal role in your organization


Positions

This sheet will generate Job titles, Departments and Workspaces in Aboard. It’s thus highly recommended to fill these columns out, even though not all are mandatory. Furthermore, this is also where you will connect managers to your employees. The managers will be able to approve time off, conduct 1-on-1's among other things.

Also not mandatory, but highly recommended and will save you time from doing it manually in Aboard later.

If you choose to, you will be able to add historical data of your employees' past positions in your organization in this sheet. Simply add as many rows per person as positional historical data you wish to include in Aboard. The most recent “Effective date (YYYY-MM-DD)” will translate to their current position and effectively set the end date of the previous one.

Keep in mind:

  • Employee work email is the Aboard ID, and what connects data between the sheets to the user. It needs to be typed in the same way across the workbook.

  • Red cells are mandatory to fill out for the row.

  • The basis for the import is a script which by nature, is case sensitive.
    E.g “HR” and “Hr” will create two different departments.

  • Follow the date format YYYY-MM-DD.

  • Stick to the presented options in the drop-down lists:


Employments

In this sheet, you enter data in regards to an employee's employment at the company, more specifically the relevant dates of the employment.

The more data that is inputted the better, but apart from Employee work email only Start date is mandatory in this sheet. If you choose to fill out the rest, keep in mind that the dates need to follow a chronological order. So Start date, is followed by Probation end date which is followed by a Last date of work and lastly the End date. The system will also notify you when an employee’s Probation end date, Last date of work and End date is approaching.

Keep in mind:

  • Red cells are mandatory to fill out for the row

  • Follow the date format YYYY-MM-DD


Salaries

Your employees' salary data is added to this sheet. As with the positions sheet, there is the possibility to add historical data by adding rows with the employee’s past salaries.

Keep in mind:

  • Employee work email is the Aboard ID, and what connects data between the sheets to the user. It needs to be typed in the same way across the workbook.

  • Red cells are mandatory to fill out for the row

  • Currencies are filled out as ISO 4217 currency codes.

  • Follow the date format YYYY-MM-DD

  • Use spaces for thousands and a comma for decimals — dots or commas used as thousand separators will cut the number (e.g., 24 578,89, not 24,578.89).

  • Columns that contain drop-down lists only allow the preset options available - own options are not recognized by the script


Addresses

The three last sheets of the import-worksheet are possible for the employees to fill out themselves in Aboard. If you choose to delegate it for them to fill out, you can leave these sheets blank. But if you have the data and choose to add it, keep in mind that:

  • Employee work email is the Aboard ID, and is also what connects data between the sheets to the user. It needs to be typed in the same way across the workbook.

  • Red cells are mandatory to fill out for the row

  • Effective date column is there for system syntax reasons. You can input any date here if you don’t know when an employee moved to their current address.

  • Country is filled out as two letter ISO 3166 code


Emergency contacts

The three last sheets of the import-worksheet are possible for the employees to fill out themselves in Aboard. If you choose to delegate it for them to fill out, you can leave these sheets blank. But if you have the data and choose to add it, keep in mind that:

  • Employee work email is the Aboard ID, and what connects data between the sheets to the user. It needs to be typed in the same way across the workbook.

  • Red cells are mandatory to fill out for the row

  • Columns that contain drop-down lists only allow the preset options available - own options are not recognized by the script


Bank details

The three last sheets of the import-worksheet are possible for the employees to fill out themselves in Aboard. If you choose to delegate it for them to fill out, you can leave these sheets blank.

Depending on which Account type you choose from dropdown in column B, different columns from C-F will be highlighted in red indicating them becoming mandatory. Input for columns Extra 1 and Extra 2 will vary depending on which Account type is chosen.

To know what to insert in these columns, refer to the Bank instructions sheet. When there, pick the Account type from the drop down to reveal the correct input. E.g., for Sweden, clearing number is to be typed in Extra 1.
